  • Performs a full review of complete submittal records in accordance with the current guidelines for the project records close-out process set forth by TDOT HQ.
  • Maintains a spreadsheet of records progress that provides management a quick view of where records are in the close-out process. Reports issues to office staff and management that are recurring issues and/or may cause delays in finalizing the project.
  • Oversees the approval and issuing of the project's Completion Notice issued date. Notifies the Project Supervisor and Office Staff of deficiencies by providing written instructions on needed corrections.
    Oversees the use of the Document Submission window to maintain a record of current progression.
    Assists the Materials and Tests Supervisor, as well as the Project Supervisors, with records corrections.
    Ensures that reminders are sent to final records staff, Project Supervisor, Materials & Tests, and CEI of due dates and work remaining.
    Process and Records Regional Director/Assistant Chief Engineer's Final Estimate Approval document.
    Submits the required documents to HQ Finance.
  • Ensures that paper and electronic records are compiled in accordance with the Secretary of State's guidelines for archival.
    Arranges pickup for long-term storage and maintains accurate lists of archived projects.
    Arranges delivery from the storage facility for records needed for claims and audit reviews.
  • Responds to requests for information within two working days.
  • Makes comments regarding documentation best practices for use in office staff meetings and trainings.
    Suggests process improvements to the supervisor for use in revising Project Closeout Guidelines.
    Maintain a log/database of projects residing in the final records process.
    Maintains notes on the current location and status of records.
    Notes outstanding issues that may be slowing progress, including comments regarding the responsiveness of CEI staff when CEI managed the project.
  • Make sure the Individual Performance Plans, Interim Reviews, and Annual Reviews are completed in Edison using the SMART format by the published due dates.

  • I worked in the construction office as the office manager for ten years. My title changed several times, but the duties were the same. (Trns Tech 1 from 2000 to 2004) (Trns Tech 3 from 2004 to 2013)
