I was part of the Systems Wing in the Global Recruiting Operations team, responsible for supporting and influencing the business transformation of the recruiting team with a skill-based business intelligence tool. Our portfolio covered all aspects of the Software Development Life Cycle.
The Recruiting team uses several in-house applications that require continuous system support as they run 24/7. As part of the role, the team is responsible for various tasks such as collecting requirements, prototyping, developing, testing, fixing bugs, releasing beta versions, migrating data, going live, implementing, providing end-user training, supporting and maintaining the existing applications, and making enhancements as needed.
In this tenure with the Global recruiting team, I had the opportunity to automate the processes which were done manually via email and spreadsheets and contributed significantly to our recruiting quadrant by reducing the time, cost and eliminated manual interventions for a wide variety of business process.
Apart from the Operational perspective, having worked with the Regional head of Recruiting immensely helped in understanding the Recruiting model, the functional flow of recruiting, Approval process, Headcount allocation and good exposure of working with the Executives from various Lines of Business.

Support Function:
• Primarily responsible for providing Product support to customers across the Global Recruiting team.
• Diagnose, identify, and troubleshoot all the issues reported by the recruiters and manage the tickets using a homegrown ticketing system.
• Maintain and update the announcements, and data feed from dependent systems in to the Applicant tracking system. Monitoring Performance issues, backups, and bringing the server up when there is an application or database failure
• Portal Management for JAPAC – Validates the licenses for job portals and distributes the ID and passwords with the user groups (Recruiters).
• Create Network access agreements for third-party contractors and responsible for renewals.
• Asset Management within the recruiting team is mainly responsible for allocation and reimaging the systems with the necessary software required for the recruiters.
• Responsible for installing the software, providing end-user training to get started with the usage of the system and monitor system usage and solve the issues reported.
• An active member involved in testing the applications before go-live and beta releases.
Development Function:
a) Started working on the enhancements for the existing Global Employee referral system in Oracle APEX to expand the usage to OFSS employees across the globe.
b) Currently involved in development projects for the approval systems in Filemaker platform
c) Create interactive reports in Oracle Apex for the global recruiting operations team
The supported applications include a home grown ATS (Applicant tracking system), Offer approvals application, License Management tool, Secure Enterprise Search Engine, Employee Referral application
1) ORS (Oracle Recruiting Solution): ORS is the applicant tracking system used by the recruiting team across the globe for sourcing candidates and conduct effective recruiting. ORS is the first suite for the management team within the recruiting Organization for reporting and analysis. This application is OFCCP Compliant. It is a full service Recruiting tool used by over two hundred professionals in an enterprise environment.
2) SES (Secure Enterprise Search): SES is a search engine similar to Google Desktop Search, which has the capabilities to search multiple sources like flat files, DBO’s, Tables. Successfully integrated our ATS with the SES search engine which acted as a one stop shop for all the recruiters to search and source profiles. The SES Tool was linked with all the flat files which were pulled from Job boards and different open source websites. The implementation of this tool with our ATS allowed for users to produce quick and accurate Boolean searches against a database of over one (1) million candidates.
3) OATS (Offer Approvals Tracking System): OATS is the approval tool used by the Hiring Managers across JAPAC for submitting the offer approvals online. The managers can track the status, report it based on their needs at runtime and manage the requests for their complete Organization.
4) Ticketing System: The ticketing system was designed to measure the incoming issues and identify the owners in case of a bug and work with the development team to fix the issues and report the status back to the end users.
5) Employee Referral system: The Employee Referral system is a Global application used by employees for referring candidates and is built using Oracle Application Express.
6) Business Object Ad hoc Reports: Was involved in building and publishing ad hoc reports as per the business requirements from the pre-defined universe in Taleo.
